K12 Coordinator Assistant

HOUSTON, TX

The K12 Coordinator Assistant is a part-time assistant to the K12 Coordinator, the primary points of contact for all school-related interactions. They help ensuring a welcoming, supportive, and efficient environment for students, staff, parents, and visitors. They are responsible for maintaining a safe, organized, and positive atmosphere while adeptly handling unexpected situations with calmness, professionalism, and empathy. They work collaboratively with the K12 Coordintor to ensure seamless communication and operations across the school.

Key Responsibilities:

  • Front-line Communication: Serve as the first point of contact for parents, visitors, and callers. Demonstrate exceptional customer service, conveying warmth, professionalism, and a clear understanding of school policies and procedures. Respond to inquiries with courtesy and humility, seeking guidance when needed.
  • Student Support: Provide a calming presence for students, assisting with their needs and ensuring their comfort during school hours.
  • Phone and Email Management: Answer calls and emails promptly and professionally. Screen and redirect inquiries as needed, ensuring all relevant information is conveyed efficiently. Monitor and respond to the school’s voicemail and emails, relaying important messages to the appropriate parties.
  • General Office Support: Assist the school nurse when needed, manage and update absence records and pickup authorizations in the Blackbaud system, laminate and display office signage, and support general office operations.
  • Mail and Package Distribution: Collect and sort mail and packages within the front office for pickup by staff.
  • Facility and Resource Management: Monitor and maintain coffee lounges and copy rooms across campuses, ensuring supplies are stocked and organized for faculty use. Track and distribute locks for Middle School lockers.
  • Lost and Found Oversight: Manage the Lost and Found area, ensuring items are organized and regularly cleared. Unclaimed and unlabeled items will be donated at the end of each semester.
  • Front Office Environment: Ensure that the front office space remains tidy, inviting, and organized, creating a positive first impression for all visitors.
  • Desk Coverage: Ensure the front desk is always manned and operational, providing coverage during absences or transitions.

Hours Per Week: 20-25

Compensation: Hourly TBD
